Executive Assistant/Office Manager

The American Theatre Guild, a Kansas City-based non-profit theatrical presenter, is looking for a part-time Executive Assistant/Office Manager to provide support for our Executive Director and the ATGuild team.. The American Theatre Guild is dedicated to providing the experience of live theatre to foster passion, inspire creativity and empower youth within our communities.

Responsibilities include:
- Track and manage receipts for Executive Director’s credit card statements
- Assist the Executive Director with daily schedules and duties, to include managing the calendar, commitments, and travel arrangements (planning itineraries, developing agendas and meeting materials, reporting expenses, etc.).
- Provide general administrative support to the ATGuild team to include; receiving and interacting with visitors; arranging meetings and conference calls (including coordinating all meeting logistics, developing agendas and meeting materials, etc.); drafting correspondence and presentations; recording, transcribing, and distributing notes/minutes of meetings; and providing other daily support to staff as needed.
- Managing the inventory of office supplies, ordering additional supplies as needed and ensuring that costs are appropriately managed
- Planning space allocations, layouts, and floor moves as required; arranging for and supervising building maintenance
- Serve as the key point of contact for main office vendors, such as maintenance, mailing, supplies, and equipment repair. Monitor office machines and systems, and problem-solve issues as needed (including postage meter, copiers, conference room scheduling).

Skills and Experience:
- 4+ years of solid administrative experience in an office setting
- Excellent verbal and written communications, networking, and presentation skills
- Superb organizational and time-management skills
- Excellent computer skills; proficient or advanced skills in Microsoft Suite (Word, Excel, PowerPoint, and Outlook)

Groups Sales Associate

The American Theatre Guild, a Kansas City-based non-profit theatrical presenter, is looking for a detail-oriented Groups Sales Associate to support the Group Sales of touring Broadway shows in 12 venues across the country. The American Theatre Guild is dedicated to providing the experience of live theatre to foster passion, inspire creativity and empower youth within our communities.

Groups Sales Associate Responsibilities include:
- Assist with group sales and educational outreach in select cities.
- Receive and fulfill group and corporate/organizational orders.
- Preparing and maintaining detailed support documents and invoicing for all markets.
- Plan and execute outbound group sales calls to current and prospective clients.
- Maintain the group sales budget in select markets.
- Promote Staging The Future Educational Outreach initiatives to Title 1 and similar school groups.
- Maintain patron and prospect databases for group sales and corporate prospects.
(This position may require limited travel.)

Groups Sales Associate Requirements:
- Bachelor’s Degree in related field
- Experience with Microsoft Office and G Suite
- Exceptional organization skills
- Excellent verbal and written communication skills
- Desire to be proactive and innovative
- Passion for Theater and the performing arts.

Patron Services Representative

The American Theatre Guild, a Kansas City-based non-profit theatrical presenter, is looking for part-time Patron Services Representatives to support our season patrons in our 12 markets across the country. The American Theatre Guild is dedicated to providing the experience of live theatre to foster passion, inspire creativity and empower youth within our communities.

Patron Service Representative Responsibilities include:
- Assisting patrons with ticketing needs (exchanging tickets, purchasing additional tickets, etc.)
- Printing and mailing tickets to patrons on a timely basis
- Managing incoming and outgoing campaign calls including customer surveys
- Inputting data into databases as directed and tracking patron responses to surveys
- Assisting managers and directors with preparation of materials for distribution
- Assisting in the recording of ticket sales, revenue and income data, and sales reports
(This position does not require travel.)

Patron Service Representative Requirements:
- A desire to provide excellent customer service to our patrons
- Experience with Microsoft Office and G Suite
- Exceptional organizational skills
- Accuracy and attention to detail
- Flexibility in an often-changing work environment
- Familiarity with technical theatre terms and practices preferred, but not required.

This is a part-time position, not exceeding 29 hours a week. Our scheduling is very flexible to your needs and we are able to accommodate most conflicts with advance notice. This is a great position for someone looking for reliable, flexible work they can return to between contracts.
